How The Simulator Tour handles player, facility, account, payment, and website information.

1. Overview

This policy describes how The Simulator Tour, operated through 4th Groove Golf for the applicable competition, collects and uses personal information when you visit the website, register, create a Competitor Hub account, apply as a facility, contact us, or participate in a TST competition.

2. Information we collect

  • Registration and profile information: name, email, phone number, city, state, home facility, SGT username and user ID, display name, profile image, and account preferences.
  • Competition information: handicap, scores, standings, points, event participation, qualification status, payouts, career statistics, and administrative notes.
  • Facility information: business and contact details, location, simulator setup, website, booking link, application answers, and approval status.
  • Transaction information: registration status, amount, payment status, Stripe identifiers, refund status, and limited transaction metadata. TST does not receive or store full card numbers.
  • Account and communication information: authentication records, email-delivery status, notification preferences, support messages, and form submissions.
  • Technical information: IP address, browser or device data, referral source, page activity, error logs, security events, and analytics information when analytics is enabled and permitted.

3. How we use information

We use information to register participants, verify SGT identities, administer events, calculate standings and payouts, operate private accounts, communicate deadlines and results, review facility applications, process payments and refunds, prevent abuse, troubleshoot problems, improve the platform, maintain records, and comply with legal obligations.

4. How information is shared

Information may be shared with service providers that help operate TST, including Stripe for payments, Supabase for database and authentication services, Resend for email delivery, Netlify for website hosting and forms, and SGT for official competition administration. Competition information intended for public standings or player profiles may be displayed publicly.

We may also disclose information when required by law, to protect rights or safety, to investigate fraud or competition abuse, or as part of a business reorganization. TST does not sell personal information for money.

5. Payments

Payments are processed by Stripe. TST receives transaction status and related identifiers but does not store full payment-card credentials. Stripe’s own terms and privacy practices apply to its services.

6. Cookies and analytics

The website may use essential browser storage for account sessions, preferences, security, and functional features. Optional analytics may be used to understand visits, registrations, and platform performance. When optional analytics is active, visitors are given a choice before analytics loads. You can change your choice using the Privacy Preferences link in the site footer.

7. Data retention

We retain information for as long as reasonably necessary to operate accounts, preserve competition history and career records, administer payments and refunds, resolve disputes, comply with accounting or legal requirements, and protect platform integrity. Some public competition results may remain as part of permanent historical records even after an account is closed.

8. Your choices and requests

You may update certain profile and notification settings through the Competitor Hub. You may request access, correction, or deletion of personal information through the contact form. We may need to verify your identity and may retain information when required for legal, payment, fraud-prevention, or competition-integrity purposes.

Marketing emails include an opt-out method where required. Operational messages about active registrations, account security, deadlines, results, or payouts may still be sent when necessary to provide the service.

9. Security

We use reasonable technical and organizational measures intended to protect information. No website, transmission, or storage system can be guaranteed completely secure. You are responsible for protecting access to your email and any account links or credentials.

10. Children and minors

TST is not designed to collect personal information directly from children under 13. A participant under 18 should register and participate with a parent or guardian’s involvement and permission. Contact us if you believe a child’s information was submitted without appropriate authorization.

11. United States operations

TST is operated from the United States. Information may be processed and stored in the United States or other locations used by service providers, subject to their safeguards and applicable law.

12. Policy changes

We may update this policy. The date at the top will show the latest revision. Material changes may also be communicated through the website, email, or Competitor Hub.
